Picnic Report

The picnic had an attendance of around 70 people this time. There is no clear indication of why the attendance was low but my guess is that it was because we picked a weekend just before the school closes. It is tricky to pick a date as you don’t want to pick a date in summer as then people are traveling to India etc and you don’t want to pick a weekend where kids might have exams.

The things to be done before the picnic:

  1. Setup the paypal site and send out meeting details
  2. Calling people so that you can maximize the attendance. We got help from Anurag Khemka.
  3. Sponsorhsips
  4. Reserve the venue – Ortega park, Sunnyvale is a good place.
  5. Identify a core team:
    1. Point person for adult activities
      1. Volleyball
      2. Tug of War
      3. Bingo
      4. Karaoke
    2. Point person for kids activities
      1. Face painting
      2. Kids games
    3. Point person for food arrangements
      1. You could go a full lunch route if you plan in advance and have got sponsorships.
      2. People will be very happy to have lunch provided within a 10-12$ registration fee.
    4. Photographer for the event
    5. Registration team for the day of the event
  6. Decide the hour-by-hour plan for the day of the picnic
    1. It is a good idea to schedule some adult activities in parallel as not everybody plays volleyball.

Day of Picnic

  1. Reach in time and make sure that the core team reaches in time.
  2. Setup registration table
  3. Setup food tables
  4. Setup volleyball net and other activities
  5. Make sure the team understands their role and knows about schedule for the day.

Suggestions for next year

  1. Choose the date carefully, may be even create a vote asking people to vote out of few dates
  2. Think about serving lunch instead of snacks(change the time to suite lunch time)
  3. Get "Bingo". We did not have it this year and people enjoy it a lot.
